Maintain accurate customer records, ensure a correct order intake; issue invoices; and follow-up on project files, resolve invoice disputes, and maintain accurate service contracts in due time in order to achieve client satisfaction.
Job Content
Order intake
- Compare the purchase order from the customer with the offer from the account manager
- Check on correctness of delivery address, VAT numbers, currency, project ID, pricing, .
- Contact Account Manager in case of inactive codes, questions or problems
- Analyse the order on special requests of the customer (deadlines delivery, advanced invoices, .)
- Check if bank caution is paid in case of governmental files
- Report to Sales Manager of their BP segments and all involved on any discrepancies as well as to the SSC Manager
Invoicing
- Prepare, verify and send invoices in due time
- Check availability of certified documents for governmental customers, and complete if necessary
- Check invoices on correctness of invoice amounts, VAT codes, currency codes, invoice addres, .
- Responsible for any type of invoice : equipment, service orders, contracts, ad hoc invoicing
- P&L awareness on projects within their segment
- Report to Sales Manager of their BP segments and all involved on any discrepancies as well as to the SSC Manager
Contracting
- Maintain,bill and solve problems with service contracts
- Guarantee an up-to-date contracting database
- Inform customers on changes and other required information until the end of the contract
- Check on a monthly base the invoiced contracts on indexation and correctness of invoicing address, period and amount
- Handle end of contracts according to legal terms with customer
Overall administration
- Guarantee up-to-date customer related databases and provide fast responses on questions in order to achieve customer satisfaction
- Solve invoicing disputes in due time
- Maintain legal archives
- Inform customer and give feedback where necessary on administrative issues
Profile
Education:
- Accountant or university degree in (applied) economics, .or equivalent through proven experience
Languages:
- good knowledge of Dutch, French and English
Skills
- Knowledge of MS Software, Visio, ... and interested to learn new tools
- Very good writing skills
- Excellent administration skills is a prime requisite
- Ability to understand general technical concepts used in projects
